Most sourcing categories fail at the price negotiation. Appliances fail somewhere else.

Buyers approaching home appliances wholesale from China usually start with a price list and a question about minimum order quantity. The decisions that actually determine whether the order works sit elsewhere: the electricity supply the product was built for, the label it must carry to be sold legally, the refrigerant sealed inside it, and the volume it occupies in a container. None of those appears in a unit price, and all of them are settled before the goods are made.

This guide covers the part that comes after the category decision. It assumes you have chosen what to sell, and it deals with what changes once the goods are appliances rather than electronics. Why Appliances Behave Differently from Other Import Categories

Six properties separate appliances from everything else on a sourcing list.

  • · The power supply is part of the specification: an appliance is built for one voltage and one frequency, and the wrong pairing is a safety and warranty problem rather than a performance one
  • · Energy performance is regulated rather than advertised: most major markets require a measured energy rating and a registered label, and the measurement is done per model
  • · Refrigerants are controlled separately: anything with a compressor contains a gas with its own import rules, which sit outside the appliance rules
  • · Volume decides the freight bill: appliances are light for their size, so sea freight is usually charged on the space they take rather than the weight they add
  • · The service life creates a long obligation: a customer expects years of use and access to spare parts, so one shipment turns into an ongoing commitment
  • · Installation is part of the product for some categories: split air conditioners and built-in appliances are not complete until somebody installs and commissions them

Those six properties also explain why appliances reward a different sequence from electronics. The specification is settled first, the price is agreed second, and the freight is calculated from the carton rather than from the unit.

Voltage and Frequency: The First Filter

Every appliance is designed around a grid, and two numbers define it: the nominal voltage and the frequency.

  • · 120 V at 60 Hz: the United States, Canada, Mexico and most of Central America
  • · 100 V at 50 Hz and 60 Hz: Japan, which is split between an eastern 50 Hz region and a western 60 Hz region
  • · 220 V to 240 V at 50 Hz: most of Europe, Africa, the Middle East, South Asia, Southeast Asia and Australia
  • · 220 V at 60 Hz: parts of South America, including regions of Brazil where the nominal voltage also varies between 127 V and 220 V
  • · 230 V at 50 Hz: the European Union, the United Kingdom and most Commonwealth markets

Getting the pairing wrong produces three different failures, and only one of them is obvious.

  • · The wrong voltage fails in two directions: a 220 V heating appliance on a 120 V supply delivers roughly a quarter of its rated heat, while a 120 V appliance on a 230 V supply is usually destroyed within seconds of being switched on
  • · Frequency mismatch: a motor rated for 50 Hz runs about 20 percent faster on 60 Hz, and a motor rated for 60 Hz runs slower and hotter on 50 Hz
  • · Compressor damage: compressors are matched to both figures and to the refrigerant, which makes them the least tolerant group in the category

Which Products Can Be Re-Specified and Which Cannot

  • · Simple heating products re-specify easily: kettles, air fryers, toasters and space heaters need a different element and a different cord set, and very little else changes
  • · Universal-input electronics often already cover both: many small appliances use a switch-mode supply rated from 100 V to 240 V, so the control circuit adapts even when the heating element behind it does not
  • · Compressor products need a different build: refrigerators, freezers, air conditioners and dehumidifiers change compressor, refrigerant charge and control logic, which makes a different model rather than a different cable
  • · The rating plate is the proof: ask for a photograph of the rating plate on the actual unit rather than the specification sheet, because specification sheets are often written for the widest possible market
  • · Multi-market models exist but must be verified per model: a genuinely dual-voltage appliance is a real product, and a marketing claim of dual voltage is not the same thing

Energy Labels: A Registration, Not a Sticker

In the European Union the energy label is governed by the framework Regulation (EU) 2017/1369, and the obligation it creates is a registration rather than a print job.

  • · Manufacturers and importers both carry the obligation: the duty applies to the entity placing the product on the market, which for imported appliances is the importer
  • · Registration goes into EPREL: the European Product Registry for Energy Labelling is the official database, and registration is required before the product is placed on the market
  • · The rating is model-specific: it is measured for a model, recorded against that model, and cannot be transferred to a similar unit with a different compressor or a different capacity
  • · Ecodesign runs alongside it: the framework that sets minimum performance requirements is now the Ecodesign for Sustainable Products Regulation, Regulation (EU) 2024/1781, in force since 18 July 2024, which replaced the earlier Ecodesign Directive 2009/125/EC
  • · In the United States the label and the standard are separate: the yellow EnergyGuide label follows the Federal Trade Commission Energy Labeling Rule at 16 CFR Part 305, while the efficiency standard itself is set by the Department of Energy

What Changed in the United States in 2026

Two developments in 2026 are widely misread, so both are worth stating precisely.

  • · The Department of Energy proposed on 2 July 2026 to rework the process behind appliance efficiency standards, framing the change as an end to new mandates
  • · The proposal does not repeal existing standards: current minimum efficiency requirements for refrigerators, air conditioners, washing machines and water heaters remain in force, and a product covered by a standard still has to be certified to it before it can be sold
  • · What would change is the test that any future standard must pass before it can be issued, including a stricter threshold for expected energy savings
  • · The practical reading for a buyer: the compliance paperwork on an appliance ordered today looks the same as it did before the proposal

Refrigerants: The Rule That Rebuilds the Product

Anything with a compressor contains a refrigerant, and refrigerants carry their own regulation, separate from the rules that govern the appliance.

  • · The European Union regulates them under the F-gas Regulation, Regulation (EU) 2024/573, which entered into force on 11 March 2024 and replaced the earlier Regulation (EU) 517/2014
  • · The regulation phases down hydrofluorocarbons, restricts the placing on the market of products containing them, and requires registration for the trade in bulk gases
  • · Domestic refrigerators and freezers are among the earliest product groups affected: the prohibition on fluorinated greenhouse gases in new units applies from 2026, with narrow exceptions where safety requires them
  • · The consequence is structural rather than administrative: an EU-bound refrigerator is not the same build as a domestic-market refrigerator of the same capacity, because the refrigerant circuit differs
  • · Flammable refrigerants, including the isobutane and propane types common in small appliances, bring their own handling and transport requirements and affect who may service the unit
  • · Bulk gas imports are licensed separately, although gas already sealed inside a finished appliance is not treated as a bulk import

For a compressor appliance, ask two questions before the quotation is accepted: which refrigerant, and how many grams. A supplier who cannot answer both from the documentation is not yet ready to ship that model into the market you named.

Freight: Volume Sets the Bill, Not Weight

Appliances are the clearest case in sourcing where the freight bill is decided by empty space.

  • · Sea freight for less-than-container loads is charged per cubic metre, so a light bulky carton costs more to move than a heavy compact one
  • · Air freight uses chargeable weight, the greater of actual weight and volumetric weight, and for appliances it is almost always the volumetric figure
  • · Container capacity is a volume limit in practice: a 20-foot container is commonly loaded to roughly 28 cubic metres of cargo and a 40-foot high cube to roughly 68, before packing loss, and these figures are indicative because actual limits differ by carrier, equipment and packing method
  • · Packing loss is real: cartons do not tessellate, pallets consume height, and appliance cartons are frequently oversized by design
  • · A worked example: if one carton measures 0.06 cubic metres, three hundred cartons is 18 cubic metres, which is more than half of a 20-foot container before any packing loss is counted
  • · The breakpoint matters more than the rate: once a shipment approaches a container's practical volume, booking the container is usually cheaper than continuing to pay per cubic metre, and that comparison belongs at quotation stage, recalculated against your own carton dimensions

What Changes with Large Appliances

  • · A split air conditioner ships as two units: the indoor and outdoor units are packed separately, and the outdoor unit carries the compressor and most of the weight
  • · Refrigerators have the weakest cube-to-value ratio in the category, which is why they are usually a container-fill decision rather than a mixed-load item
  • · Packaging is part of the product: a compressor unit dropped in transit becomes a warranty claim, so ask for the carton specification and the drop test the factory applies
  • · Glass, doors and moisture each need their own protection: blender jugs, oven doors and refrigerator shelves are the components that break, and on a long sea route whatever is not broken can still corrode if exposed metal or a control board is left unsealed
  • · Consolidating small appliances with large ones is usually a mistake: the large item sets the packing pattern, and the small items should follow it rather than the reverse

The Certification Stack, and Who Pays for It

A mains-powered appliance sold in a regulated market usually needs several tests rather than one certificate.

  • · Electrical safety: the core requirement in most markets, tested against the appliance safety standard that applies to the product type
  • · Electromagnetic compatibility: applies to anything with a motor, a heating element or a switching power supply
  • · Radio equipment rules: apply in addition once the appliance has a wireless connection, which covers most of the current range
  • · Hazardous substance restrictions: limit the materials used in the product, and apply in both the European Union and the United States
  • · Energy performance: measured separately from safety and registered per model
  • · Food-contact requirements: apply to every surface that touches food, which is most of the kitchen category

Who holds the paperwork matters as much as which tests were run.

  • · Test reports belong to whoever commissioned them, so a supplier who cannot produce a report naming your model cannot support your market
  • · The cost sits with the entity placing the product on the market, which for imported appliances is the importer, even where the factory arranges the testing
  • · A new capacity or a new compressor is a new model for testing purposes, which is the most consistently underestimated cost in appliance sourcing
  • · Ask for four details: the report reference, the standard it was tested against, the model it names, and the date

Small Kitchen Appliances: The Easier Half of the Category

  • · The regulatory load is lighter: an air fryer, a kettle or a mini blender needs safety and material compliance, not an energy label registration
  • · The economics are friendlier: certification costs less per model and the cube is smaller, so the same order value occupies a fraction of the container space a refrigerator would claim
  • · Demand can be tested quickly, because low minimum order quantities are realistic on products that are light and compact
  • · The voltage question does not disappear, since heating elements remain voltage-specific even when the control electronics are universal
  • · Cord and plug are market-specific, from the plug type to the cord length and the marking moulded into the plug, and these are the details most often missed on a first order

After-Sales: The Obligation That Outlives the Shipment

  • · Spare parts are a line item rather than a favour: a sensible first order includes an allowance for the components that fail, which for appliances usually means control boards, thermostats, gaskets and door seals
  • · Documentation is part of the product: an exploded parts diagram and a service manual in the destination language decide whether a local technician can repair the unit at all
  • · Plan for a dead-on-arrival rate: even a good factory ships a small percentage of units that fail early, and those units need either a route back or a replacement allowance
  • · Compressor products need a local repair route: a refrigerator or an air conditioner that cannot be repaired locally turns into a refund, so confirm who will service it before the order is placed

Branded Lines and Private Label

  • · Branded appliances sell faster because the model is already searched for by name, and a known model converts more readily than an unbranded equivalent
  • · Branded goods also attract counterfeit and refurbished stock, so source them only where the goods can be documented, and treat below-market pricing on a recognised model as a warning rather than an opportunity
  • · Distribution terms vary by brand and by region, and some models may not be resellable in your market at all, so clarify this before committing to volume

FAQ

Can a 220 V appliance be used in a 120 V market?

Only with a transformer, and usually not well. An external transformer addresses the voltage difference but not the frequency difference, and motors and compressors are sensitive to both. For anything with a motor or a compressor, buy the version built for the destination market instead of adapting the wrong one.

Who registers the EU energy label, the factory or the importer?

The obligation sits with the supplier placing the product on the market, which for imported appliances is normally the importer. An EU-bound order should therefore settle in writing who will register the model in EPREL and under which model reference.

Why is a refrigerator harder to import than an air fryer?

Three reasons. A refrigerator contains a regulated refrigerant, it is built around a compressor matched to a specific voltage and frequency, and it occupies a large volume relative to its value. An air fryer has none of those three constraints.

How many appliances fit in a container?

It depends entirely on the carton, so work in cubic metres rather than units: measure one carton, multiply by the quantity, and compare the total against the practical capacity of the container you are considering. A 20-foot container is commonly loaded to roughly 28 cubic metres and a 40-foot high cube to roughly 68, with packing loss reducing both figures.
